Repeaters: Still working well. Timer board still acting up. Paul working on another controller board to see if it will solve the time problem.

Website: Still working well. Please sign up for newsletters etc. Went live a little over 3 years ago.
ARES: Trailer still at VE3MAF. Most municipalities require some Emergency management training. The IMS100 and IMS 200 courses are good. EMO website http://www.emergencymanagementontario.ca/english/home.html [10] .
Hamfests: None in the immediate future.
Contest Club: Operated the North American QSO Party. Nothing new.

Old Business: Christmas Party. Went well and all enjoyed themselves.
Doug and Rick have made contacts with areas beyond North Bay (Nipissing Village, Restoule etc).

80M Net: Running as normal. 8-10 check-ins.
Repeaters: All running as they should be. Discussed 2M net. Going to discuss it further. Need more activity on the repeaters. Encourage all hams to have their VHF radios on VE3ERX 147.030 (+) (primary) or VE3NFM 147.300 (+) (secondary) and check in to the repeater when mobile around town.
Website: Running well. Paul looking at upgrading the hardware in the near future.

Trillium Grant. Committee members gave reports. Due to grant requirements it was decided to extend the timeline to submit the grant until 2015. In preparation for the grant submission we will be having a discussion of the grant requirements and the direction the members would like to see the club take. This discussion will be held at the October 8, 2014 meeting.
Field Day. Lori still needs volunteers and possibly a cook. There is set-up and tear down. Watch the web site for more. Bulletins will be sent around. As was said before..... If you are going to be there for supper let Lori know or there won't be any food for you!
Triathalon. Sunday June 29th (during Field Day). We need 6 to 8 members. Sign up on the web site.
Mattawa Canoe Race. July 26th 2014. Moving checkpoint 2 to a better location. Will need volunteers.
Lost in the Rocks and Trees has been cancelled for this year.
We have 2 fall events. The Hospital run and The Run Off the Grid.
SITP. I tis being held behind the museum this year. Our trailer will be down sized. Paul has sign up sheets. It takes about 3 weeks for the security check.
Patric4Life. Good event. No major problems. Had a minor problem with the lead bike. Runners were running 4 abreast down Lakeshore Dr.

Hamfests: Markham Hamfest November 1st, 2014. Doug VA3DLJ and a couple of others are going.
RAC: Paul sent a report. More on the website. Paperwork is being readied for insurance submission. Our club RAC renewal will be submitted at that time. The ARRL website has been hacked. If you have a login there, be advised to change password.
EVENTS: Run off the Grid. Was attended by 6 hams. We could have used some more help. It was a good time. Food was good. It is a great fun event.

Christmas Party. Bill VA3SPT will look into Guido and Arlene's. They are now open Wednesday through Sunday evenings. We usually hold the party on a Thursday (Dec 4,11,18 this year). Voted on by secret ballot. YES – 11. NO – 3. Motion carried.

A Quick Update..........
When Doug researched further about the application process for the Ontario Trillium Fund (OTF) grant he discovered that we must register before filling out the application form. We can't even view the form to see what is required before we register.
The first requirement is that the person registering the club, and main contact person must be " a club representative with decision making powers". This would be a member of our board of directors. Bruce volunteered to be the club representative and Doug will be his assistant. The next few requirements (Constitution, by-laws, and financial statements) we have.
The one requirement we don't have, and need before we can register, is a NBARC Mission Statement. The mission statement should describe.....
Who we are.
What we do.
Where we are going. (What are our goals).
We would like all members to think about this and come up with three words to describe the above for our November 12, 2014. We will then have a brainstorming session and begin to develop the NBARC Mission Statement.
Here are a few Mission Statements to use as examples and get the creative juices flowing............
1) COMMUNICATE GLOBALLY; ACT LOCALLY; INVOLVE ALL INTERESTED MEMBERS & VOLUNTEERS.
2) This is a social gathering of like-minded individuals interested in amateur radio use and development. Training, inclusion of all, extension of our contacts and service by networking with others here and in neighbouring communities, is an on-going goal.
Regular coffee clutches and business meetings are held for planning and to discuss current events.
Community service is offered by members giving their time and use of personal radio equipment communications systems for the benefit of community events and connections to others and the world, and when requested, to assist civil authorities.
3) Promote amateur radio in the community and provide the training and support required to become an amateur radio operator;
Maintain radio systems suitable for providing communications for the benefit of the community; and when requested, to assist civil authorities.
Provide an opportunity for amateur radio enthusiasts to socialize, learn, exchange ideas and contribute to the enjoyment of our hobby.
In the next five years, aim to be one of the most progressive, enthusiastic and friendly amateur radio clubs in Canada, supporting ham radio for all in our community.
As a comparison, the following is the Mission Statement for the Trillium Committee
To successfully ascertain approval for funding from the Trillium Foundation by utilizing all available resources and support agencies, which will allow the NBARC to facilitate the acquisition, modifications, necessary equipment, and the operation of a communication trailer. The procurement, the design, and the implementation of such trailer to be in accordance with the prescribed direction, and commitment of the membership of the NBARC.

On another note........
Friday October 24, 2014, Bill, Bruce, Keeling and Drew went to visit VIA Trailers in Bolton. Although it was a long day it was a very productive trip and Jason, the sales rep was very helpful. Bill will give a short report at the November 12th meeting and may even have pictures.

Motion by Rick. The Trillium Committee is charged to use the available information in the NBARC website preamble and the objectives of the constitution to formulate a mission statement for NBARC. Seconded by Butch. Carried.
Old Business: Hospital Run. Went well. No one got lost. Numbers were down.
Christmas Party. It will be a Tuesday night at Guido and Arlene's they are normally open on Thursdays. Dec 2, 9. Menu and cost similar to last year Paul will put a poll on the website. (Look under 'Recent posts') The poll will close November 23rd, 2014.
Elections: Chris gave an update on the by-laws and constitution re elections.
Motion by Doug. Make a slate of 6 (six) directors for election. Seconded by Butch. Carried.
Motion by Dan. January 14th, 2015 be the AGM for 2015. Seconded by Bill. Carried.
Motion by Chris. Election committee will submit a list of nominees for consideration. Additional nominations will be accepted from the floor at large. Any nominees must agree to let their name stand for election. Seconded by Doug. Carried.
Ballot will be by secret ballot.

In the new year we will be reviewing the by-laws and constitution.

SUMMARY OF TRILLIUM COMMITTEE MTG held November 26th at Keeling’s
Present were Bruce, Keeling, Drew, Doug, Bill G.(at IMS course), Rick(regrets sent)
Mission Statement - The club mission statement was discussed…everyone agreed it is excellent and includes all of the features that represent who we are, what we do, and our general goals….as posted on our club website for a number of years on the home page…. No changes needed.
The North Bay Amateur Radio Club (NBARC) is an incorporated non-profit organization whose objective is to promote Amateur Radio in the city and surrounding area, provide communications for local organizations, and when requested - to provide emergency communication. As well, it provides a place for like-minded people to get together to discuss the common topic.....amateur radio.
Registration – OTF is rebuilding their website and application procedures this winter, so have delayed all applications until the Spring…. This does fit our timelines anyway, so we will continue to develop the plan and make our contacts.
Name on the side of the trailer still questioned, and for possible magnetic car door signs was discussed…. NORTH BAY AMATEUR RADIO CLUB COMMUNICATIONS was the most recent edit for any supporting signs, but we should double think the spacing of lettering, logos, and wording of the title on the trailer with regard to windows and doors planned. We will check out some local sign producers and screening to be done on the trailer for when we take possession. Continue to review that name for the next few weeks; you may find a fine tuning that makes more sense.
Membership – Discussion over the need for added membership and increased involvement by existing members…. Need to do outreach, regular ham licence preparation classes, advertising locally on radio and tv, etc…. do we have enough manpower to staff the new unit for the various events? … remains a concern! Should be part of our January meeting presentation and discussion with members about the application. Another reality check.
Letters of support – an intensive list was developed for possible connections to be made, with some individuals named to follow through in the next months. Sample letters will be developed in the next week to have available for us to use as guides.
Future meetings-to be determined, but will remain in e-mail contact for the public relations work that is pressing for these letters and contacts during January, February, and March.
